Back Up Call Recordings, Voicemails and Faxes to Google Drive

Keep selected business communication files organized outside the daily inbox. Connect Google Drive, choose what to upload and verify the scheduled backup instead of assuming it is instant.

A recording is useful only if the right person can find it when needed. Zonitel's Google Drive integration can upload selected call recordings, voicemail audio and fax PDFs to a connected Drive account. It is a scheduled file backup, not an instant mirror of every item in Office.

For a small team, the goal is not to collect more files indiscriminately. It is to keep the material the business needs, in an account it controls, with a clear way to check that the process is working. Decide who owns the backup before connecting a staff member's personal storage account.

Choose the files your business actually needs

Select backup categories deliberately
File typeWhat to decide first
Call recordingsWhich calls should be recorded and who is authorized to access the resulting audio.
VoicemailsWho needs the audio for follow-up and how long the business should keep it.
Fax PDFsWhich documents the business needs to retain and which staff may open them.

Turning on a recording upload category does not make an unrecorded call acquire an audio file. Review recording configuration separately. Similarly, storing a voicemail copy is not a promise that it has been transcribed or that a teammate has handled the customer's request.

Connect Drive and review the upload settings

  • Open Office → Settings → Integrations and the Google Drive connection. Use an authorized Google account intended for business files.
  • Review Google's authorization screen, the account and the requested permissions before approving the connection.
  • Open Manage when connected, select Fax PDFs, Call Recordings or Voicemails as appropriate, and save the upload settings.
  • Check the destination account's available storage and nominate someone to verify new files periodically.

The documented folder structure groups files under Zonitel by type and then year, month and day. Make the connection record useful to the next administrator: note the business account, selected categories and person responsible. Do not put passwords or integration tokens in that record.

Allow for scheduled processing, then verify a sample

Uploads run through a daily scheduled process during lower-load hours. The Help Center advises allowing 24–48 hours for new files to appear, depending on volume. Do not look for an immediate copy after finishing a call and conclude that the connection is broken.

For an agreed check, choose a harmless sample that exists in Office and belongs to an enabled file category. After the expected processing window, locate it in the connected account and open it. Compare the date and content, not just the filename. If it is missing, record the category, original time and location before contacting Support.

For example, a service office might select a fictional voicemail and an internal sample fax to verify the chosen categories. Finding one uploaded fax does not prove that recordings are enabled or uploading successfully. Keep a small checklist per category rather than treating a successful sign-in as proof of complete backup coverage.

Treat retention and sharing as business decisions

A second copy creates another access and retention responsibility. Review who can open the destination folders, how staff changes are handled and when files should be removed under the business's policy. Do not make recordings or customer documents public simply to make internal retrieval easier.

This integration is not a claim of unlimited storage, an emergency restore service or automatic compliance. Review requirements for sensitive information and the agreements relevant to your organization. If an audit or a customer request requires an urgent file, use the appropriate Office record rather than waiting for the next backup window.
