How to Set Up a Business Phone System in Under 1 Hour

Step 3: Configure Your Auto Attendant and Call Routing (20 Minutes)

This is where your phone system becomes truly professional. You'll set up your Auto Attendant (also known as an IVR or Interactive Voice Response) to greet callers and direct them to the right place.

You'll need to record a greeting: "Thank you for calling [Your Business]. Press 1 for Sales, Press 2 for Support..." Then, map those options to the correct extensions or ring groups. You can also configure Business Hours routing, ensuring that calls received after 5:00 PM are automatically sent to a specific after-hours voicemail or on-call staff member.

Step 4: Download the Apps and Connect Devices (15 Minutes)

You don't actually need physical desk phones to use a modern VoIP system. Your team can simply download the provider's mobile app (iOS/Android) and desktop app (Mac/Windows).

Once logged in, their smartphone or laptop instantly becomes their business phone. They can make and receive calls, send business text messages, and check voicemails—all using the company caller ID, keeping their personal numbers completely private.

Step 5: Test the System (10 Minutes)

Finally, use your personal cell phone to call your new business number. Listen to the greeting, press the menu options, and verify that the correct extensions ring. Leave a voicemail to ensure the voicemail-to-email feature is working properly.
