You can send a PDF by fax online from Zonitel Office when your account has an active fax line. Upload the digital document, confirm the destination and review the delivery attempt afterward. You do not need to print the PDF, feed it through a machine or treat an email attachment as a fax.
The difficult part is often preparing the right packet, not pressing Send. A business might receive a signed page as an image, an invoice as a PDF and supporting details in a Word file. Before sending, decide which pages the recipient needs and put them in a clear order.
Prepare one readable document packet
Check every page for orientation, missing edges, faint handwriting and accidental blank pages. If page order matters, prepare a single PDF first rather than relying on several unrelated attachments. Use a fictional packet for training; do not upload real customer documents simply to test the feature.
Office's Fax → PDF tools can combine supported documents and images or compress an image-heavy PDF. Conversion and compression have their own limits, separate from the fax composer. Keep a readable original and inspect the processed file before attaching it. A smaller file is not useful if the recipient cannot read it.
Choose the line, recipient and cover-page notes
- Open Fax → Send fax and verify From · Fax number. A preselected line still needs to be the right one for this business communication.
- Enter the recipient fax number or select a saved fax contact. Recheck the number against a trusted source before sending.
- Add the recipient name and useful Notes for the automatically generated cover page. A saved note template fills reusable wording; it does not send the fax.
- Attach the documents and check their readability. The composer accepts up to six files with a combined 30 MB maximum; prepare one ordered PDF when needed.
If you add several recipients, each receives the same fax separately. Keep any shared cover-page wording appropriate for every recipient. For unrelated customers or confidential packets, prepare and review separate sends instead of adding everyone to one request.
Sending is not the same as confirmed delivery
After submitting, open Fax → Sent and check the attempt for the intended recipient. A cover-page sample is only a sample; it does not validate the attachments or establish delivery. For a packet with a deadline, record the actual result and make sure the person responsible knows whether follow-up is needed.
If an attempt fails, preserve its details and investigate before sending another copy. Confirm the number, document and result of the first attempt so the recipient does not receive duplicates unnecessarily. A successful delivery result also does not prove that the intended person has opened or reviewed the document.
Make repeat sends easier without skipping checks
A practical team routine is to maintain verified fax contacts, keep generic note templates and assign one person to inspect delivery results. For example, an office administrator can prepare a monthly vendor packet from digital originals, verify its page order and recipient, then check Sent before filing the task as complete.
Digital fax is an optional service with its own applicable terms and charges; it is not automatically included with every phone plan. For sensitive documents, review who can access the files and whether the service configuration and agreements meet your requirements. An online fax feature alone is not a compliance certification.
