AI appointment booking by text lets a customer ask for a time in a message and have an assistant check availability and create a booking. In Zonitel, Conversational AI can do this through supported calendar workflows when the account, messaging channel, and appointment actions are configured. It is text-based assistance—not an AI answering incoming phone calls.
The problem is familiar: someone asks about Thursday, your team replies with two times, and the customer returns after those slots are gone. Each exchange adds work without securing the appointment. Connecting the conversation to the right calendar can shorten that process, while staff remain responsible for exceptions.
What a booking conversation should accomplish
Illustrative example: a customer messages, “Can I book a consultation Thursday afternoon?” The assistant checks the permitted calendar and offers its available times. The customer chooses one. Only after the booking action succeeds should the assistant confirm the appointment details. If nothing fits or the action fails, it should explain the next step instead of claiming a reservation exists.
Set up one reliable workflow first
1. Choose the calendars it may use
In the conversational agent’s settings, open “06 What it can do” and select the allowed booking calendars. Review their services, availability, and appointment settings. With several calendars, decide whether to offer any available person or ask which person or service the customer wants first.
2. Give it the right appointment permissions
Enable availability checking and appointment creation for new bookings. Enable appointment lookup and time changes only if rescheduling belongs in this workflow. Keep the assistant’s job instructions aligned with those permissions; a friendly answer alone does not create or update a calendar entry.
3. Test the entire exchange
Use a test appointment to verify the selected service, date, time zone, and final calendar entry. Also try an unavailable time and an existing appointment change. Check that the customer-facing confirmation matches what the system actually saved, and remove the test appointment when finished.
4. Give exceptions a human owner
Decide who handles an unclear request, an unsuccessful booking, or a customer who wants a person. If the assistant says someone will follow up, assign that task to your team. Start with one service and review the conversations before expanding to more calendars.
Is this the same as appointment reminders?
No. Booking assistance responds during a conversation to arrange or manage a time. A reminder concerns an appointment that already exists. Can a customer change an existing appointment?
With the appropriate actions enabled, the assistant can find the next appointment using the phone number used to book it and move it to an available time. Recording a cancellation response does not by itself prove the calendar entry was deleted. Verify the result before telling the customer it is complete.
AI uses credits based on actual consumption; plans and credit top-ups are available. Messaging and optional services have their own applicable charges and terms. Confirm your account’s supported channels and configuration before offering automated booking to customers.
