When the team is busy, some customers would rather request a callback than keep holding. The next challenge is making sure someone owns that follow-up. A note on paper or a missed-call count does not show whether a teammate has already contacted the person.
What a callback request means
In a configured Zonitel queue, callers who request a callback appear in Office → Calls → Waiting List. The page is called Waiting Calls. It is a record of callback requests, not a live display of everyone currently holding.
A request is not a scheduled automatic callback or a guarantee that the caller keeps a place in the queue. Confirm the queue's callback behavior and availability with Support before offering it to customers.
A simple follow-up routine
- Review: select the correct location and filter by caller, dialed business number, status and date.
- Coordinate: check the current status and notes before contacting the caller, so two teammates do not duplicate the work.
- Complete: record the result using the controls available to your account. Marking a request handled and deleting it are different actions.
The list supports Pending, Completed and Pending-Notes Added statuses. Establish who reviews pending requests during busy periods and after shift changes. Keep notes brief and avoid sensitive details that are not needed for the callback.
Callback requests, missed calls and text replies are different
Waiting List records a caller's request. A missed-call report measures unanswered activity. A configured missed-call SMS can offer another way to respond. Use the tool that matches the situation, check existing follow-up first, and review messaging eligibility and charges before enabling automated texts.
What to test with Zonitel
Ask Support to review the relevant queue and callback option. Make a controlled test call, request the callback and confirm that it appears for the right location and business number. Check that the responsible teammate can find the request and record the follow-up. No customer notification should promise a return time your team cannot meet.
