A GoHighLevel phone integration should help your team understand who is calling—not just show a phone number. With the correct connection and user settings, Zonitel Office can display available GoHighLevel contact information while a business phone rings. The caller card depends on a matching record and the information your connected location provides.
The familiar problem is a call arriving while someone searches the CRM. The customer repeats what they already submitted, and the team starts the conversation without context. Making relevant information available at that moment can reduce the searching, without replacing the person who answers.
What can your team see?
The connection can supply CRM details such as tags, source and custom fields. Upcoming appointments are a separate display option when the relevant calendar information is available. Choose the details that help staff handle the inquiry rather than treating the card as a complete copy of the customer record.
Fictional example: a repair company receives a call from someone who previously requested an estimate. Available CRM context can help the coordinator recognize the inquiry and ask a useful next question. It does not prove an estimate was approved or an appointment exists. The team still checks the record before making a commitment.

Set up the connection and the caller card
- Connect the intended GoHighLevel location in Office: Settings → Integrations → GoHighLevel → Manage. Use the matching location ID and private integration token, with the contact-read permission needed for lookup. Keep the token private.
- Open your Office profile menu → Inbound Call Info. Enable GoHighLevel CRM when available; select upcoming appointments only if you need that information too.
- Under Numbers that alert me, choose Edit numbers, select the business numbers and save. No numbers are selected by default. Each teammate reviews their own preferences.
- Keep Office open and place a controlled test call to a selected number. Use a known matching contact and verify the available details before relying on the card in daily work.
Keep importing and calendar sync separate
Caller lookup does not require the contact to have been imported into Zonitel. Import contacts from GoHighLevel controls copying contacts; it is not a continuous two-way contact-sync switch. Test import creates real records, so review a small import before importing the full list.
Link calendars separately if you need appointment workflows. Use the permissions required for the actions you intend to allow. New appointments may take up to five minutes to appear; use Sync and check the correct linked calendar before assuming a booking is missing.
Why is the caller card missing or empty?
Check the selected numbers, saved display settings, location connection and contact-read access. Then confirm that matching information exists. These are personal display preferences: they do not answer calls, forward them or change which phones ring. Configure routing separately in Call Flow, and confirm integration availability and applicable terms with Zonitel.
