Zonitel's QQCatalyst integration automatically files call recordings against contacts and can create a contact when it does not already exist. Recordings sync hourly and may take up to 60 minutes to appear. It is a way to reduce manual audio handling, not a promise that every call instantly updates every agency record.
For an insurance agency, the work after a call can be as frustrating as the call itself. An agent finishes a conversation, downloads the recording, finds the client record and uploads the file. If another customer calls first, that small administrative task can be left unfinished.
Keep the conversation with the contact
The integration addresses that specific handoff between the phone system and QQCatalyst. Your team can keep using the agency system it already knows while recordings are filed automatically. A new contact can be created with the recording attached, so staff should understand the process before creating a duplicate manually.
Fictional example: a prospect calls about a policy review. After the recorded conversation and the next sync, the agency checks the recording in QQCatalyst instead of having the agent move the audio file by hand. The agent still needs to review the record and complete the agency's own follow-up. An uploaded recording is not proof that a policy or coverage change was approved.
Four checks before you rely on the sync
- In Office, open Settings → Integrations, find QQCatalyst and select Manage. Confirm the account is authorized for the intended agency.
- Enable the integration and automatic recording uploads, then save the configuration. Use suitable account access and protect its credentials.
- Confirm call recording is enabled for the extensions whose calls should be filed. The integration cannot upload a recording that was never created.
- Complete a controlled test call and check the intended contact after the hourly sync. Verify the attached audio before expanding the workflow.
Why is a recording not there immediately?
Uploads are not instant. Allow for the documented sync interval before treating a missing file as a failure. If it still does not appear, check the enabled settings, account access and whether the original recording exists. When asking support for help, provide the call time and relevant identifiers privately; do not send unnecessary customer information.
Assign an owner to recheck the connection after account-access changes and review a small sample regularly. If you pause the integration, new syncing stops; recordings already uploaded remain in QQCatalyst. Establish who handles any manual follow-up during a pause rather than assuming it continues automatically.
Is this a complete two-way agency-system sync?
Do not assume that. This guide concerns recordings and contact creation, not policy data, instant screen pops or AI-summary syncing.
